Move In / Move Out

GUIDELINES

  • The moving company as contracted by the Tenant, will provide services including pickup and transfer of the property to the designated location(s) on the appropriate floor in the building.
  • Each employee of the mover is to be bonded and is required to have identification with moving company's name on it in order to maintain the security of the premise and to provide easy identification by QuadReal Property Group personnel
  •  The Tenant is to provide to the Tenant Coordinator the approved Contractor’s Certificate of Insurance with comprehensive general liability insurance covering work with a minimum of five million dollars ($5,000,000) on any occurrence.  The policy will contain a cross liability clause naming the Landlord, 2725312 Canada Inc., Broadway Tech Centre Holdings Inc. and QuadReal Property Group as additional named insured and be extended to include automobiles and contractor's protective and blanket contractual liability.  As well, the contractor is to provide an "all risk" of physical loss or damage policy covering the total contract price for Tenant's Work.
  • WorkSafeBC  The Tenant is to provide to the Tenant Coordinator a WorkSafeBC Clearance Letter as evidence that the Contractor is in good standing with the Workers' Compensation Board.
  • All moves to take place before or after business hours (7:00 AM to 6:00 PM) or on weekends. Please ensure the Property Management Office is made of aware of any intended moves (including large furniture moves) or Security may halt the move.
  • Door propping is not allowed into any common area hallway.
  • No item should be left unattended in the common area hallways or on the loading dock while on break. Common area hallways shall not be used as staging areas.
  • Any damage to the building shall be repaired by the building designated contractor at the Tenant’s expense.

 

Site Access & Parking

SITE ACCESS

  • Access to the building is provided by site security only after requested by a tenant. Access to the tenant space is provided by the tenant unless previously arranged by the tenant with operations or security.
  • All movers are to sign in and out with site security and wear site contractor ID badge. When movers sign in at Security, the Security personnel will pad and lock off the freight elevator.
  • The Security office is located at the parkade entrance at 2925 Virtual Way. The telephone number is (604) 834-0246.

PARKING

 

  • QuadReal does not provide contractor parking. Pay parking is available in the parkade and on the west side of 2930 Virtual Way. There is also street parking available.
Elevator Use

All movers are to sign in and out with Security and must wear a contractor ID badge.  Once movers hae signed in with Security, the Security personnel will lock off and pad the freight elevator.

Pre and post inspections of the elevators are performed with site security and the contractor or tenant.  All damage both inside and outside the elevator is the responsibility of the tenant.

Elevators are not booked and locked off during business hours.

Staging of material in the loading docks or in the elevator lobbies is not permitted. 

Any deliveries that leave the building insecure require a Security Officer in place at the tenant's expense.  The building is insecure if the loading bay gate won't close due to the size of the moving / delivery vehicle.

Please follow the rules as described below:

  • All deliveries of materials including furniture are done outside building hours and scheduled prior with site operations.
  • Deliveries are through the loading docks and are not permitted through the main lobby doors.
  • When movers sign in site security will pad and lock off the freight elevator for this purpose.
  • Any deliveries that leave the building insecure require a site security guard in place at tenant expense. This means if the loading bay gate won’t close because of the length of the move/delivery vehicle, a guard is required.  48 hours notice is needed to order security coverage.
  • Pre and post inspections of the elevators are performed with site security and the contractor or tenant. All damage both inside and outside the elevator is the responsibility of the tenant.
  • Elevators will not be locked off during business hours
  • Staging of material in the loading docks or in the elevator lobbies is not permitted. 
  • At the end of all moves - Any mess created is to be cleaned prior to leaving. Area’s used are to left in the condition found.

Moving Supervision, Labor, Materials & Equipment

The mover is to furnish all supervision, labour, material, supplies, and equipment necessary to perform all of the contracted services in an orderly, timely, and efficient manner. All material handling vehicles used in the interior of the building must have rubber-tired wheels and must be maintained free from grease and dirt.

Crating, Padding, and Packing Material:

  • We ask the mover to take every precaution by means of crating and padding to safeguard property and the building from damage. All padding and packing materials are to be removed from the building by the mover. The mover shall also furnish, install and remove floor, carpet, tile, wall, and glass protective materials where necessary to protect the building from damage. Protection is also to be provided to the interior and exterior trim of all elevators used in the move.

Material Disposal:

  • Again, please be sure your mover and/or delivery vendor understands that all large cartons, containers, garbage, etc., must leave with the vendor.
  • There is no building storage or trash facility to accommodate such items. The existing garbage and recycling bins are for regular office use only.
  • Any mess created during the move is to be cleaned prior to leaving. Area’s used are to be left in the condition found.

Safety / Security:

  • It is the responsibility of the mover/Tenant to perform the move in the safest manner possible, avoiding blocking of building corridors, blocking entrances and exits, avoiding the accumulation of combustible materials.
